Most companies grant PTO either as a lump sum at the start of a period or gradually through accrual, where employees earn a set number of hours for each pay period worked. This calculator supports both methods: enter a current accrued balance directly, or provide your accrual rate per pay period along with the number of pay periods worked to estimate your accrued hours.

Allotted PTO is the total amount of time off your employer grants for a period, such as an annual allowance. Accrued PTO is the portion of that time you have actually earned so far based on hours or pay periods worked. Your total available balance is typically the sum of your remaining allowance plus any additional accrued hours.

Any value entered in days is multiplied by your configured work hours per day (for example, 8 hours) to convert it into hours. This lets the calculator combine hour-based and day-based entries consistently before computing your totals, since PTO policies often mix both units.

If the hours or days you request are greater than your remaining available PTO, the calculator flags the result as "Request exceeds balance" and shows the shortfall in the formula breakdown. You should reduce the requested amount, use unpaid leave, or confirm with your manager or HR team before submitting the request.
